SharePoint Online based Safety Logs Management for Theme Parks
Case
A famous theme park in Abu Dhabi, UAE is attracting more than a million guests a year! This theme park is known for its thriller rides, innovative studios, and hospitality.
One of the fastest roller coasters is equipped in this theme park. A lot more to attribute to this park that yields lots of guests.
No. of guests visiting this park is increasing like anything every day; same time accidents and injuries are also part of the day at times.
Few rides are quite wild, visitors are high from different age groups too.
It is pretty normal to expect a few incidents reported each day.

Challenges
Each incident must be taken care of and dealt with to the end. None of the incidents can be taken easily or left from consideration. This may lead to a huge mess and mishap in the park.
But lots of how to to be answered,
How to track each incident carefully?
How to generate a report to see the incidents reported in a year and the current status?
How to enable access to people to report incidents?
Who will be doing the incident check?
Who will be approving the incident analysis?

These questions raise a huge barrier to enforcing the process.
RMM Technologies pitched in to vend a solution to this case.

Solution
RMM Technologies completely analyzed the problem statement and found this Safety Logs system is very much needed for Insurance claims as well. So, the system needs to be built with so much care to connect all the dots!

SharePoint Online is used with Power Apps and Power Automate to build the system.
First, the entry point, how to report incidents?
QR code is generated and displayed throughout the park that linked with Safety logs system incident report form
All front-line workers are given access to the system to report the log.

Okay, once the log is reported, how to take it up to the next action?
Workflow is tied with an incident log that will trigger the initial analysis process to a safety log owner.
After verifying the incident, a maximum of 3 folks can be added to further investigate and update the logs.
If these persons' analysis is satisfactory, the safety log owner can close the incident with remarks.
Else, again assign the task to the folks for further analysis.

The portable reporting system is attached to the system that will send the log reports every week to the stakeholders.
Also, all the task approval reminders will be sent on a daily basis to ensure the tasks are signed off by the folks timely.
An escalation system is also in place to make sure the tasks are not delayed too much to act on.

This implementation helped them to report the incidents effectively and easily.
The technical challenge of Power Apps to PDF is not that straightforward and has lots of limitations to it.
We managed that nicely to generate a PDF and send it as an attachment to the requester's email.
This feature was well appreciated by the owner.
