SharePoint Online based Safety

A famous theme park in Abu Dhabi, UAE, attracts more than a million guests annually. This park is known for its thriller rides, innovative studios, and hospitality.

One of the fastest roller coasters is equipped in this theme park. There is much more to attribute to this park that yields many guests.

The number of guests visiting this park is increasing like anything every day; accidents and injuries are also part of the day.

Few rides are pretty wild; visitors are also high from different age groups.

It is normal to expect a few incidents to be reported every day.

Challenges

Each incident must be dealt with to the end. None of the incidents can be taken quickly or ignored, which may lead to a colossal mess and mishap in the park.

But there are lots of ways to be answered,

  • How do you track each incident carefully?
  • How do we enable access to people to report incidents?
  • Who will be doing the incident check?
  • Who will be approving the incident analysis?

These questions raise a vast barrier to enforcing the process.

RMM Technologies pitched in to vend a solution to this case.

Solution

RMM Technologies thoroughly analyzed the problem statement and found that this Safety Logs system is also very much needed for insurance claims. So, the system must be built with so much care to connect all the dots!

SharePoint Online is used with Power Apps and Power Automate to build the system.

First, at the entry point, how do incidents be reported?

A QR code is generated and displayed throughout the park and is linked with the Safety Logs system incident report form.

All front-line workers are given access to the system to report the log.

How do we take the log to the following action once the log is reported?

Workflow is tied with an incident log that will trigger the initial analysis process to a safety log owner.

After verifying the incident, a maximum of 3 folks can be added to investigate further and update the logs.

If these persons' analysis is satisfactory, the safety log owner can close the incident with remarks.

Otherwise, again, assign the task to the folks for further analysis.

The portable reporting system is attached to the system that will send the weekly log reports to the stakeholders.

Also, all the task approval reminders will be sent daily to ensure the tasks are signed off by the folks timely.

An escalation system is also in place to make sure the tasks are not delayed too much to act on.

This implementation helped them to report the incidents effectively and efficiently.

The technical challenge of Power Apps to PDF is not straightforward and has many limitations.

We managed that nicely to generate a PDF and attach it to the requester's email.

The owner appreciated this feature.
